Treat every traveller individually

Children usually need their own valid passport and may need a separate visa, authorisation or arrival record. Requirements can differ by nationality even within one family.

Use each person's exact details

Match names, dates of birth, passport numbers and nationalities to each passport. Check that an adult's details have not been copied into a child's application or vice versa.

Plan for different processing paths

Do not assume a family group will be decided together. Submit within the official window and allow for questions about an individual traveller.

Organise records securely

Keep a simple checklist for each traveller and store confirmations securely. Share passport information only with people and services that genuinely need it.

  • One row or folder per traveller.
  • Passport validity checked individually.
  • Visa and authorisation status recorded.
  • Arrival forms scheduled for the correct window.
  • Consent or custody evidence checked where relevant.
  • Emergency and support contacts saved.
