This Refunds Policy explains how cancellations, refunds, withdrawal rights, service-start consent, physical-product returns, defective-product claims, and payment disputes are handled by eVisa Immigration, operated by Nova Group Sp. z o.o., at https://evisa-immigration.com.
1. Contact for refund and complaint requests
Refund, cancellation, complaint, and order-support requests should be sent to support@evisa-immigration.com.
A request should include the order reference, customer email address, traveler name, product purchased, reason for the request, and any supporting information. We aim to respond within up to 14 days.
2. General position for services and digital services
eVisa Immigration sells private assistance, document-preparation, document-checking, online processing, customer-support, account, app, and digital services. These services are often time-sensitive and may start immediately after purchase.
For services and digital services:
- The service starts immediately after purchase where the customer expressly consents to immediate performance.
- The customer acknowledges during checkout that, once performance begins or digital content or a digital service is delivered, the right of withdrawal and refund may be lost or reduced to the extent permitted by EU and Polish consumer law.
- Payments are generally non-refundable once the service has started, an application has been prepared, checks have begun, documents have been processed, a digital product has been delivered, a third-party fee has been incurred, or a government/authority submission has been made, except where required by applicable law.
This Policy does not limit mandatory consumer rights.
3. Cancellation before performance starts
If the customer cancels before we begin performance and before any digital content, digital service, government fee, authority fee, third-party fee, payment-provider fee, custom work, document processing, or order-specific work has been incurred, the customer may be eligible for a refund according to applicable law and the specific product terms.
A cancellation request should be sent to support@evisa-immigration.com as soon as possible. Because many orders begin immediately, cancellation after payment may not be possible.
4. EU and Polish consumer withdrawal rights
Where the customer is an EU consumer and buys online, the customer may have a 14-day right of withdrawal for distance contracts unless an exception applies.
For services, the customer may lose the right of withdrawal once the service has been fully performed if performance began with the customer’s prior express consent and acknowledgment that the right of withdrawal would be lost after full performance.
For digital content or digital services supplied online, the customer may lose the right of withdrawal once performance or delivery begins where the customer has given the required prior consent and acknowledgment under applicable law.
Where a service has started but has not been fully performed and the customer has a valid withdrawal right, the customer may be required to pay a proportionate amount for the service already provided, as permitted by law.
5. Government fees and third-party fees
Government fees, embassy fees, consular fees, immigration fees, border fees, tourist levies, reciprocity fees, appointment fees, biometric fees, courier fees, app-store fees, payment-provider fees, and other third-party fees are generally non-refundable once incurred, paid, submitted, reserved, or charged by the relevant third party, except where the third party or applicable law provides otherwise.
Where we collect such fees as part of an order, we may be unable to refund them after they have been paid or committed to the third party.
6. Refusals, delays, and authority decisions
A government refusal, request for further information, additional security check, processing delay, system outage, border denial, airline refusal, change in requirements, or authority decision does not automatically entitle the customer to a refund where eVisa Immigration has performed the purchased service.
No service fee, speed option, document check, app feature, or assistance service guarantees approval, issuance, boarding, entry, or acceptance by any third party.
7. Customer errors and missing information
Refunds are generally not available where the service cannot be completed, is delayed, or produces an incorrect result because the customer or traveler:
- Provided inaccurate, incomplete, outdated, inconsistent, or false information.
- Uploaded unclear, invalid, altered, expired, or incorrect documents.
- Failed to respond to requests for missing information.
- Changed travel plans, passport, nationality, address, itinerary, or purpose of travel after purchase.
- Bought the wrong product, destination, processing option, or traveler category.
- Submitted a duplicate application or already applied elsewhere.
- Was ineligible because of immigration history, criminal history, health requirements, sanctions, prior refusals, or authority rules.
We may still assist with corrections, resubmission, or a new application where available, subject to additional fees and third-party charges.
8. Service failures caused by eVisa Immigration
If we fail to provide a paid service due to an error within our reasonable control, the customer may be entitled to correction, re-performance, partial refund, full refund, or another lawful remedy depending on the circumstances and applicable law.
Examples may include a clear failure to perform the purchased service, a duplicate charge, an order accepted for a service that was unavailable and not replaced, or a material error caused by us that cannot be corrected.
9. Physical products
Where physical products are sold, EU and Polish consumer withdrawal rights apply where required by law. A consumer may generally have 14 days to withdraw from a distance purchase of physical goods, unless an exception applies.
Returned goods must be sent back without undue delay and in a condition consistent with lawful inspection. The customer may be responsible for reduced value caused by handling beyond what is necessary to establish the nature, characteristics, and functioning of the goods, as permitted by law.
Return shipping costs are handled according to the information provided before purchase and applicable law.
10. Custom-made, personalized, and made-to-order goods
Custom-made, personalized, made-to-order, printed, engraved, tailored, applicant-specific, document-specific, photo-specific, or travel-document-specific goods may be excluded from the standard right of withdrawal where legally permitted.
This may include personalized photographs, printed forms, customized document packs, customer-specific travel-document materials, and other goods created according to customer specifications.
11. Hygiene, health, cosmetics, and food-type products
Sealed goods that are not suitable for return for health or hygiene reasons after opening may be non-returnable where legally permitted. This may include relevant sealed cosmetics, personal-care, food-type, or hygiene-sensitive products where such products are offered and the seal has been broken after delivery.
This does not affect statutory rights for defective or non-conforming goods.
12. Defective products and statutory warranty rights
Nothing in this Policy limits mandatory rights for defective, non-conforming, incorrectly described, or damaged goods or digital products. Where statutory warranty or conformity rules apply, customers may have rights to repair, replacement, price reduction, refund, re-performance, or other remedies required by law.
Customers should contact support@evisa-immigration.com promptly with the order reference, description of the issue, photographs where relevant, and preferred resolution.
13. Digital products and delivered files
Downloadable guides, document packs, digital templates, app features, account features, status tools, digital confirmations, and other digital content or digital services may be delivered immediately. Once delivery or performance begins with the required consent and acknowledgment, refunds are generally unavailable except where required by law or where the digital product is defective or not supplied as required.
14. Subscriptions and recurring services
For subscriptions or recurring services, cancellation normally prevents future renewal charges but does not automatically refund the current paid period unless required by law or expressly stated in the product terms.
If a promotional price applies, renewal may occur at the standard price after the promotional period if this was clearly disclosed before purchase.
15. Refund method and timing
Approved refunds are normally returned to the original payment method where possible. Refund timing depends on the payment processor, card network, bank, wallet provider, app store, currency, and country. Processing may take several business days after approval.
If the original payment method is unavailable, we may request another lawful refund method.
16. Chargeback and payment-dispute prevention
Customers should contact support@evisa-immigration.com before opening a payment dispute where the issue can reasonably be resolved through support, correction, cancellation, or refund assessment. This does not limit any statutory right to dispute an unauthorized transaction.
If a dispute is opened, we may provide the payment processor, card network, bank, app store, authority, or relevant third party with order evidence, checkout consent records, service-performance records, delivery records, communications, technical logs, fraud-prevention records, and other information reasonably necessary to respond.
17. Fraud, abuse, and false claims
Refunds may be refused where the request is connected with fraud, forged documents, false information, unauthorized payment use, chargeback abuse, identity misuse, sanctions evasion, unlawful activity, or violation of the Terms of Service, except where applicable law requires otherwise.
18. How to request a refund or cancellation
Send the request to support@evisa-immigration.com with:
- Order reference.
- Customer email address.
- Traveler name.
- Product purchased.
- Reason for the request.
- Any supporting documents or screenshots.
- Preferred resolution.
We aim to respond within up to 14 days.
19. Relationship with other policies
This Refunds Policy should be read together with the Terms of Service, Privacy Policy, Cookies Policy, and Disclaimer / Independent Service page. If a product page or checkout includes more specific refund information, that product-specific information applies to that product to the extent permitted by law.
